Job Description

This position will serve as the Asset Works AiM software administrator, billing manager and manager of work control administration. The position is responsible for ensuring the integrity of data within the Facilities Management (AiM) system. Responsibilities include: technical and functional support of the AiM system, development and generation of reports, utilizing BIRT, IBM Cognos, SQL, etc. for requests using available database systems, and daily management of the work control team. These duties include: prioritization of customized workflows, communication with stakeholders, analysis of Facilities billing processes and practices, provide technical solutions that improve departmental effectiveness and efficiency using knowledge and understanding of Facilities & budgetary practices, and a clear understanding of systems capabilities, customer impacts, data relationships, and database table structures. Integration of information between AiM, Banner ERP, and ArcGIS. Review and troubleshoot reports to determine accuracy of data and for proper functionality. Position manages system enhancements and quality standards of AiM, and is responsible for ensuring compliance with relevant State and University policies and procedures. Coordinates all end-user testing as new releases, upgrades or enhancements are implemented, while following University and State guidelines and procedures, research, plan, implement, and thoroughly test and evaluate system modifications, upgrades, and enhancements. The AiM system is used by Facilities Management for customer requests, work order processing, purchase orders, departmental billing and space management. Responsibilities include configuration, maintenance, upgrades, report development and generation, monthly billing as well as other technical and functional support of the AiM system. Participates in strategic planning and data analysis to assist in determining future needs and enhancements and develops workflows for the new ReADY request software and assists with technical support of other IT systems used by Facilities.

Required Qualifications

Experience providing daily technical support for end users. Experience coordinating system upgrades and enhancements. Demonstrated knowledge of best business practices, state budget or accounting practices and demonstrated good customer services attitude and abilities. Experience developing and maintaining training material. Experience configuring and maintaining enterprise applications. Experience with report writing and database design. Proficiency with Microsoft Office, SQL databases and reporting tools. Demonstrated use of effective problem-solving, organized, communication, and interpersonal skills. Ability to communicate technical information to end users and to provide highly responsive customer service and manage competing deadlines. Ability to interpret and enforce University policies and procedures.

Preferred Qualifications:

Experience with Oracle databases and Mango databases and familiarity with JavaScript. Knowledge of the Banner ERP and/or familiarity with state reporting, budget or purchasing requirements, experience with multilayer work process software systems. Experience with AiM Integrated Work Management System, API, BIRT Report writer, Cognos, Microsoft Power BI, Tableau, Crystal Reports, and familiarity with facilities organization. Experience supervising a team of employees.
