Job Description
The Clinical Placement & Academic Scheduling Coordinator performs, coordinates, and oversees clinical partnership documentation and academic scheduling operations for the College of Nursing at both the Radford and Roanoke locations under the supervision of the Assistant Dean of Undergraduate Nursing.
This position serves as the primary liaison between the College of Nursing and affiliated clinical partners, ensuring accurate documentation, timely scheduling coordination, and compliance with university and clinical agency requirements. The role provides operational oversight of NPIP letter processing, clinical scheduling logistics, course scheduling entry, and coordination of classroom and cross-listing requests to support undergraduate nursing programs.
Essential Job Functions:
-Provides coordination and oversight of NPIP (Nursing Program Information Packet) letters and related documentation for clinical partners to ensure compliance, accuracy, and timely distribution.
-Serves as primary liaison between the College of Nursing and clinical agencies to coordinate student clinical placements and scheduling of clinical days across sites.
-Maintains and updates the master clinical schedule grid to ensure accuracy of course sections, faculty assignments, and site placements.
-Enters course schedules, clinical sections, and related updates into the university scheduling system in accordance with institutional timelines and policies.
-Coordinates requests for large classroom assignments and specialized instructional space based on course enrollment and instructional needs.
-Processes cross-listing requests for nursing courses in collaboration with the Registrar and relevant academic departments.
-Collaborates with faculty, program leadership, and administrative staff to troubleshoot scheduling conflicts and ensure efficient clinical placement coverage for makeup days, one-day precepted activities and one-day preceptorships (i.e. Simulations, IV Day, OR Day, etc.)
-Monitors deadlines and maintains documentation to ensure compliance with university and clinical partner policies and procedures.
-Provides reports and updates to the Assistant Dean of Undergraduate Nursing and college leadership team regarding clinical placement status and scheduling operations.
-Serves as a resource for faculty, staff, and clinical partners regarding scheduling procedures, documentation requirements, and placement logistics.
-Performs general administrative duties and other related responsibilities as assigned.
Required Qualifications
-Strong organizational and coordination skills with the ability to manage multiple complex scheduling processes simultaneously.
-Demonstrated ability to serve as a professional liaison between academic programs and external partners.
-Ability to independently manage documentation workflows and monitor compliance deadlines.
-Proficiency in data entry and use of university scheduling or student information systems.
-Strong attention to detail and accuracy in schedule management and documentation oversight.
-Effective written and verbal communication skills with faculty, administrators, and external clinical partners.
-Ability to solve problem-scheduling conflicts and exercise sound judgment within established policies.
-Ability to maintain confidentiality and handle sensitive information appropriately.
Preferred Qualifications:
-Education, training, and/or experience in healthcare, higher education administration, or academic scheduling.
-Experience working with clinical placement coordination or healthcare compliance documentation.
-Experience using student information systems or scheduling software platforms.
